Creation and Modification of a Third Party

The third party creation and editing form in HtkDoli allows you to manage all the information of your professional contacts, while respecting the business rules of your Dolibarr instance. It is accessible from the ”+” button in the list of third parties, or via the “Modify” action on the file of an existing third party.

Form Interface

The interface is divided into several cards (sections) to facilitate entry on mobile.

Identity

  • Name / Company: Mandatory field. This is the main name of the third party.
  • Alias ​​/ Commercial name: Alternative name.
  • Status: Allows you to define whether the third party is Open or Closed.
  • Import from contacts: This button (profile icon with a ’+’) allows you to open your device’s address book. By selecting a contact, HtkDoli will automatically pre-fill many fields (Name, Email, Landline, Mobile, Address, Postal code, City, and Country).

Miscellaneous

  • Barcode: Gencod code associated with the third party.
  • Logo: Name of the image file.

Commercial information

  • Type of third party: Defines whether the third party is a Customer, a Prospect, or Neither.
  • Customer code: Unique identifier of the customer.
  • Supplier: Allows you to indicate whether this third party is also a supplier (Yes/No). If ‘Yes’, the Supplier Code field appears.
  • Other fields: Price level, Authorized outstanding amount, Default currency, and Language (ex: fr_FR).

Advanced business settings

This section allows you to enter the identifiers for the conditions and payment methods, as well as the default discounts for the Customer part (and Supplier if activated), and the Incoterms information.

Company information

  • Type of entity: Ex: SARL, SA, Artisan…
  • Workforce: Section of the number of employees.
  • Capital: Share capital of the company.
  • Parent company ID: Allows you to link this third party to a parent entity.

Accounting

  • VAT taxable person: Indicates whether the third party invoices/pays VAT (Yes/No).
  • Intracommunity VAT: VAT identification number.
  • Accounting accounts: Fields for sales and purchase accounting accounts.

Contact details and address

Classic sections for Email, Phones (Landline, Mobile, Fax), Website, and physical address details (Street, Postal Code, City, Department/State, Country Code).

Corresponds to the Dolibarr ProfID fields, the format of which varies depending on the country (e.g. for France: SIREN for ProfID 1, SIRET for ProfID 2, APE/NAF for ProfID 3, RCS for ProfID 4).

Additional attributes (Extrafields)

Allows you to add custom fields dynamically. You can define a “New Key” (eg: my_custom_field) and its “Value”, then click on “Add Attribute”. Added fields can be deleted via the trash can icon.

Notes

Allows you to enter free texts for the Public note and the Private note.

Business Behavior and Backup

Offline Mode (Offline Support)

HtkDoli includes robust offline change management. When you validate the form (“Save” button):

  1. Changes (or creation) are saved locally on your device for immediate viewing.
  2. A task is added to the synchronization queue (Background Sync).
  3. HtkDoli will attempt to send this data to the Dolibarr server in the background. If you don’t have a network connection, the app will automatically try again as soon as the connection is restored.

Rights and Permissions

Registration on the server will strictly respect the permissions of your Dolibarr account. You must have third party creation or modification rights in Dolibarr for the operation to succeed on the server. Otherwise, the synchronization will fail and an error will be notified in the application.
